Purchasing Associate

About the Purchasing Associate Role

At BBL we bring products to life, from first concept to a fully merchandised experience for our customers. We’re looking for a highly organized, proactive individual with a creative mindset and a genuine passion for unique, well-designed products to join us on this journey.

In this role, you’ll work alongside the lead purchaser and management team to support every stage of the product journey: quoting, sampling, pricing, shipping, receiving, and merchandising.

This role is ideal for someone who thrives on managing complexity, is deeply detail-oriented, and finds joy in both the creative and operational sides of product development. You’ll be responsible for a dynamic pipeline of goods in various stages of production, and your ability to stay ahead of deadlines and communicate clearly will be key to your success.

If you’re someone who finds satisfaction in clean spreadsheets, accurate timelines, creative problem-solving, and seeing your work take physical form in a catalogue or showroom—this is the role for you. It’s demanding, fast-paced, and endlessly rewarding for the right person.

What You Will Do

Pricing & Purchasing

  • Review quotes from suppliers with the lead purchaser, following up as needed;
  • Contribute to product development meetings, reviewing visual boards in Canva and providing status updates;
  • Create pricing spreadsheets in excel for each supplier;
  • Communicate with suppliers about questions, samples, updates etc.;
  • Track quotes, samples and shipments that are in development, ensure that timelines are realistic and fit with our marketing schedule.

Purchase Order Maintenance

  • Enter and adjust POs with our suppliers as needed, ensuring accurate details and ETAs;
  • Send sales contracts and other documentation to suppliers as required.

Customer Quoting

  • Learn to use different pricing and margin strategies for volume and custom products;
  • Maintain a high attention to detail across hundreds of products, ensuring that the data is clean and accurate;
  • Always ensure timely communication with suppliers and customers (speed is an advantage)

Product Setup

  • Set up new products in the BBL database, ensuring that all details, categories etc. are entered into the system accurately.
  • Ensure that products are reaching the website with accurate details, photos and categorization.

Incoming Shipments

  • Provide tagging and labeling requirements to factories;
  • Follow up on production and request images of finished goods before packing/shipping;
  • Coordinate co-loads with suppliers, ensuring that every supplier has clear information;
  • Prepare documentation for customs.
  • Keep daily shipment tracking sheet up to date.

Receiving

  • Print receiving sheets for warehouse team;
  • Check container counts and inform management about any discrepancies;
  • Prepare the shipment folder for our staff accountant and receive goods into inventory.

Managing the BBL Showroom

  • Work at the showroom one Monday per month;
  • Check availability levels and remove items that are discontinued;
  • Print new tags as needed;
  • Keep ‘specials’ items current;
  • Support seasonal showroom overhauls, merchandising product and preparing creative displays;
  • Maintain supplies (ie: coffee, cups, drinks, cleaning supplies).
Your Skills & Experience
  • Experience working in purchasing or a product-driven role in a B2B business (‘product-driven’ can include any role with oversight or influence over the development of product lines);
  • A passion for creative, unique and exciting products;
  • A desire to take accountability and grow;
  • A good understanding of, and experience with, pricing and gross margin;
  • A strong command of Microsoft Excel;
  • Clear and concise communication skills;
  • A demonstrated ability to prioritize amidst heavy workload;
  • An almost obsessive attention to detail, holding yourself to a high bar and checking your work before it goes out;
  • A sense of urgency in all tasks (global supply chains move slowly, speed is our advantage).
